Alumni Management System -Web Application

This paper represents a web service for Alumni management of a college. It highlights use of database management for ease of access of student records. Various web development tools are used to create a responsive website which focuses particularly on alumni data and interaction of university with individual alumnus. The implementation of the website along with the algorithm or the flow of the process is also discussed in this paper.

This is an era in which information technology is highly advanced and contact information of one's classmates from all over the world is always changing with living areas changed. This will inevitably make one lose touch with their classmates and alma mater. Based on this situation, a platform to strengthen one's connection with the college is urgently need. The Information and Communication Technology (ICT) has witnessed great development in the recent years. Therefore, the design of Students and Alumni Web Portal (SAWP) involves the analysis of the internal and external environment of the three universities. Alumni are graduates of a school, college, or university. As at Private University in Jakarta, every year there are new alumni. After graduating from college, Alumni are usually busy working or continuing to higher education, they will be separated by distance. Based on these problems, a media is needed to interact with other alumni and this media can also be used by Alumni in helping the campus in collecting data on other alumni. The media is a social network that connects people to one another. Our research is aimed at the alumni of Private University in Jakarta. Even though nowadays there are many social media, not all alumni use usernames according to their real names, not even all alumni use these social media, this of course makes it difficult for alumni to communicate again with other alumni. With the website-based application, namely the Ruang Alumni, it will make it easier for Alumni to connect with each other, and can help the campus to complete alumni data even though not all of them are complete because it is only based on other Alumni who have registered in the application. This application was developed using the Waterfall method. With this Ruang Alumni website-based application, Alumni can connect with each other by sharing data and information in this application, such as posting personal photos, posting job vacancies and posting lots of information in this application, alumni can also update personal data like on other social media. In this scholarly thesis pertinent to the setting up of a automated student performance record management system which enables the users of a university like student and faculty to access the important information with ease through a user friendly web application. This proposed system aims at eliminating the practice of time consuming and vulnerable tradition of manual maintenance of student information in paper at the very basic level. An alumni tracer is a graduate trace study or alumni trail, conducted to students after graduation. Tracer alumni aim to know the outcome of education in the form of transition from the world of college education to the world of work.In writing this practice work report the author conducts an analysis using field studies and literature studies on the alumni data collection system at the Faculty of Social and Political Sciences Malikussaleh University which is still done manually, so that the author decided to build a web-based Tracer Alumni information system that can facilitate the tracking of graduating students, tracer alumni system can also be one of the support for credit the college.This system is designed using PHP/Xampp programming language by using structured diagrams, namely with Context Diagram, Data Flow Diagram (DFD), Entity Relationship Diagram (ERD) and database design using MySQL.

Alumni tracking is a difficult task for any institution that has been running for a long time. The Department of Electronics and Computer Engineering (DOECE), Pulchowk Campus, IOE, has been offering undergraduate programs since 1994 A.D. and masters programs since 2001 A.D. The existing information about the alumni of the department is unmanaged and out of date. This paper presents a web-based system to integrate data of alumni into a well-managed database, and to act as a portal where alumni can update their current status and view online alumni yearbooks. This work aims to make the task of alumni tracking easier and simpler for the department. The web-based portal has been accessed by many alumni of the department starting from the earliest batches to update their information and see the whereabouts of others. From the collected alumni responses, some preliminary insights observed were: (a) it was seen that alumni seem to be heterogeneous both in their job positions and employers.
